In the cloud is not the same as backed up.

Microsoft 365 and your file storage run somewhere you do not own. The copy you genuinely control is the one somebody deliberately makes, keeps and tests.

What Microsoft actually promises

Microsoft keeps the service running. Your data stays yours to protect.

This is not a complaint about Microsoft. It is their published position, and it is a reasonable one. The shared responsibility model puts the platform on them and the data on you, and most businesses find out where that line sits on the day they need something back.

  • Ninety three days, then nothing

    A file deleted from SharePoint or OneDrive sits in the recycle bin for 93 days. After that there is nothing left to restore from. A folder removed in March and missed in July is simply gone.

  • Thirty days after the licence goes

    Remove the licence from a user and their mailbox is permanently deleted 30 days later. Staff leave, licences get reclaimed to stop paying for them, and the mail goes with the saving.

  • Replication copies the mistake

    Your data is held in more than one place, which covers a failed disk very well. It does nothing for a deletion, a bad sync or ransomware, because all three replicate exactly as they happened.

  • Retention is not recovery

    Recycle bins and retention policies are built for the ordinary case, somebody deleting the wrong thing and noticing that afternoon. They were never designed to put a business back after a bad week.

What is backed up

Servers, workstations and Microsoft 365, backed up separately.

A server, a workstation and a Microsoft 365 tenancy are three different things that fail in three different ways, so each one gets its own backup rather than a single line item that quietly covers whichever of them somebody remembered.

Retention

7 years

Backups are kept for seven years. If you have been with us for less than that, you have history for as long as you have been with us, and it keeps building from there.

Where it is stored

Australia

Your data stays onshore. It is not replicated offshore for cost, which is worth checking with anybody else you are comparing us against, because plenty do.

Tested, not assumed

A backup nobody has restored is a guess.

Backup software reports success for a long list of things that will not come back. The only way to know is to put the data somewhere and look at it, so that is part of the job rather than something extra you can buy.

  1. The job ran, the data did not

    A backup completes happily with a file locked, a database caught mid write, or a folder that quietly stopped being included the day somebody moved it. The report still says success, because the report is describing the job rather than the data.

  2. Nobody knows how long it takes

    Being able to restore is not the same as being able to restore before Friday. If it has never been timed, the answer you give your staff on the morning it matters is a guess, and it is usually optimistic.

  3. The order matters

    Getting a business running again is not one restore, it is several in the right sequence. Working out that sequence during an outage is the most expensive possible time to learn it.

Questions we get asked

Does Microsoft not back up Microsoft 365 already?

No, and Microsoft says so. Their shared responsibility model makes them responsible for keeping the service running and you responsible for your data. What you get instead is retention: a 93 day recycle bin in SharePoint and OneDrive, and a mailbox that is permanently deleted 30 days after its licence is removed. Both are safety nets for somebody deleting the wrong file and noticing the same week. Neither is a backup, and neither will put a business back.

Is cloud backup included or does it cost extra?

Included. Daily cloud server backups and daily Microsoft 365 backups are two separate lines in the standard managed agreement, at the published price. They are not a premium tier and they are not sold to you after something goes wrong, which is the point at which most people are first offered them.

We are already on Microsoft 365. Does much change?

Very little that your staff will notice. Same accounts, same addresses, same apps. What changes is underneath: multi factor turned on properly across every account, permissions made deliberate rather than inherited, licensing matched to what people actually use, and a backup of the tenancy added, because there almost certainly is not one.

Should we move our server to the cloud?

Sometimes, and it depends on what the server does, what your internet is like at the busiest hour of your day, and what the licensing costs once it is up there. Some workloads are cheaper and safer in the cloud, some are slower and dearer, and a few should not move at all. We will tell you which of those yours is, including when the answer is to leave it where it is.

What happens if we get hit with ransomware?

We contain it first, work out what was reached and how far back a clean copy has to come from, then restore in sequence and check it before anyone works in it. The reason that is possible is that the backup is held separately from the live data, so encrypting your files does not encrypt the copy. If it turns out to be a notifiable data breach under the Privacy Act 1988 we will tell you plainly and help you work through what the Notifiable Data Breaches scheme requires.

How far back can you actually restore from?

Seven years. That is the retention on the cloud copy, and it is well past the five years Australian tax record keeping rules ask for, so a request to produce something old is a lookup rather than a problem. The practical limit is how long you have been with us: two years in, you have two years of history. What matters more than the ceiling is the first week, and that is the part that gets restored and timed rather than assumed.

Where is the data actually stored?

In Australia. It does not leave the country, and it is not quietly replicated to somewhere cheaper offshore, which is worth asking anybody else you are comparing us against because plenty do and very few volunteer it.

Can we have a copy on site as well?

Yes, and for larger environments it is worth it. A local copy restores a big file server far faster than pulling it back over your internet connection, so it is about the speed of the recovery rather than the safety of the data. It sits alongside the cloud copy rather than replacing it, because a copy in the same building as the original is not a backup on the day the building is the problem. We will tell you honestly whether your environment is big enough to benefit.

Can you migrate us from what we are on now?

Yes. Migrations are project work rather than day to day support, so they are scoped and quoted before anything starts, at the published rate. You will know what it costs and roughly how long your people will be affected before you agree to it, rather than afterwards.
